YOUR DUTIES

Manage operations of the Export department for sea division for branch of minimum 2 full time employees or their equivalent at all times
Responsible for carrying out supervisory and administrative duties among the team including, but not limited to recruitment and training of all new hires, planning employee schedule and time off in the HR Online System
Must resolve all interdepartmental conflict situations as they arise and work to continuously improve and promote team work in the department
Audit department files for billing accuracy
Put measures in place to increase the customer service level (prompt responses to emails, Data quality, etc.) and ensure that all Gebruder Weiss financial and quality KPI's are followed and achieved
Manage the team and distribute team workload in a fair and professional manner
Always promote team building and positivity and assist team in accomplishing goals by providing guidance and additional training when necessary
Process sea export documentation in a timely and efficient manner and in accordance to Gebruder Weiss procedures and country requirements exercising personal judgement and discretion
Primary duty will consist of non-manual work and utilizing discretion and judgement to engage vendors to increase branch and company margins on each shipment
Always utilize discretion and personal judgement to ship goods using the most efficient and cost-effective route to increase margin on each shipment
Manage engaging vendors and suppliers
Authority to negotiate rates and make decisions pertaining to shipping vendors
Held accountable and responsible for managing own profit and loss (P&L)
Ensure product compliance, operating efficiency, with a specific focus on productivity, quality and profitability
Monitor workflows and management of resources to ensure and verify timely and accurate accomplishment of operational processes
Enforce and ensure compliance with all USA customs and other governing bodies
Serve as the main point of contact for sea export consignments
Make certain that all support documentation is available and completed correctly
Oversee pick up on behalf of the client/ agent as required
Register and confirm all shipments are in the system in a timely and efficient manner
Responsible for accurate completion of house BOL
Ensure AES/FMC filings are completed correctly and in a timely manner, meeting all deadlines
Manage invoicing and collection of freight, agency and disbursements from clients
Resolve accounting issues related to forwarding costs/ payments, overseas invoicing, free domicile etc.
Must exercise discretion and independent judgement when approving invoices/credit notes, monitor cartage/ waiting time costs, if incorrect, invoices must be disputed and must be compared to original quotes, failure to do so can result in significant financial loss for business operations
Process air/sea freight debtors and creditors in a quick, but adequate manner by verifying 100% correctness prior to sending to accounts
Trace orders and ensure that information affecting arrival and dispatch is communicated to customers (internally & externally) or their agents
React in a quick and administratively feasible manner when reviewing discrepancies for customers
Stay informed with competitor activities and industry trends and attend industry related functions when required

YOUR PROFILE

Minimum 4 years of sea export experience
Preferred previous leadership/ supervisor experience
Working knowledge of Cargowise1/SAP/Microsoft Suite Programs
Excellent communication & customer service skills
Accurate and detail oriented
Work well under pressure and ability to multitask
Able to work in a team environment and independently
