About the role

This position provides coordination and support for the Executive Team.

What you will do

  • Completes a broad variety of administrative tasks for the President and Executive Team including but not limited to: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas and compiling documents for travel-related meetings.
  • Plans, coordinates, and ensures the President's schedule is followed and respected.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response. Handles customer calls when required.
  • Schedules and attends as a notetaker specified meetings. Publishes agendas prior to the meetings and follows up to provide meeting minutes.
  • Provides a bridge for smooth communication between the President's office and internal departments; demonstrating leadership to maintain credibility, trust and support.
  • Works closely and effectively with the President and Executive Team Members to keep them informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the team updated.
  • Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the President, some of which may have organizational impact.
  • Prioritizes conflicting needs; handles work expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Arranges and supervises temporary help for long term or large projects when needed.
  • Maintain accurate time reporting.
  • Maintains equipment and supplies for assigned conference room, such as:
  • visual equipment (flipcharts, OHP, slide projector, LCD projector
  • markers, pointers and other miscellaneous materials.

  • Keeps strictest confidence in all business matters.
  • Complete other responsibilities, as assigned.

What we are looking for

This position requires an individual with:

  • 5 + years experience in an administrative position
  • College degree in business discipline or equivalent post high school experience in high level administrative position
  • High degree of initiative. Self-starter who requires very little supervision and looks to help others when own work is finished.
  • Highly flexible; able to work on multiple projects simultaneously while meeting deadlines.
  • Excellent interpersonal skills. Must be able to handle highly confidential information with complete confidence of management.
  • Excellent organizational, time and project management skills
  • Excellent keyboard (approx. 50 wpm without errors), writing, spelling, and proofreading skills. Ability to read and understand instructions in English- effective verbal skills
  • Strong knowledge of PCs, word-processing and spreadsheets, PowerPoint.
  • Reliable history of consistent attendance and work performance with increasing responsibility. #CB
